    Most of the work is in the practical details. These are the ones that decide who can attend.

    Timing and caring duties

    Evening events are hard for people who collect children, care for a relative or travel a long way home. A lunchtime or afternoon event inside working hours reaches more of the team. If you hold an evening event, give at least four weeks’ notice so people can arrange cover, and state a finish time.

    Alcohol-free options

If you hold several annual events, they stay exempt as long as the combined cost is no more than £150 per head.

    Work out the cost per head by dividing the total cost, including VAT and any transport or overnight accommodation you provide, by the number of people who attend, guests included. The £150 is not an allowance. If a single event costs more than £150 per head, the whole cost is taxable, not only the amount above £150.
