How the builder works
The builder holds 168 messages. Each one was written by hand for one recipient and one tone, so a message for your boss reads differently from a message for a close work friend. There are six messages for every combination of recipient and tone. If you add a name or something the person is known for, the builder puts it into the message as plain text.
The channel changes the layout. Email adds a subject line, a greeting and a sign-off. Slack or Teams and LinkedIn keep to the shorter messages. “Another one” moves through every message for your choices before any repeats. “Add to shortlist” keeps the ones you like together so you can compare them.
Worked example
Choose “A coworker”, Warm and Card, and type the name Sam. The first message the builder gives is:

How to write a happy birthday message to a coworker, boss or client
A good happy birthday message to a coworker says three things: happy birthday, one thing you appreciate about working with them, and a good wish for the day. Two or three sentences is plenty for a card or a chat message.
When you do not know them well
Keep it short and sincere. “Happy birthday, I hope it is a great day” is a complete message. A long message from someone the person hardly knows can feel odd, so do not invent a shared history. If you have worked together even once, you can mention that one thing.
What to avoid
- Age. Leave out numbers, “getting older” jokes and guesses about a milestone birthday. Many people do not want their age discussed at work.
- Personal subjects. Appearance, health, family plans and money do not belong in a work birthday message, even as a compliment.
- Jokes at the person’s expense. Aim the humor at meetings, email and deadlines, which everyone shares.
- Assumptions about the day. You do not know whether they are having a party, taking the day off or doing nothing at all, so wish them a good day and leave it there.
Group card etiquette
- Leave room for other people. Write two lines, and do not take the middle of the card.
- Read what is already written, then say something different. Ten copies of “Have a great day!” look like nobody tried.
- Sign with a name people can read, and add your team if the office is large.
- Remember that everyone who signs after you will read your message. Save private jokes for a private message.
- If you are organizing the card, give everyone the same chance to sign, including remote colleagues, and treat every team member’s birthday the same way.
Some people do not celebrate birthdays
Some people do not mark birthdays, for religious, cultural or personal reasons, and some prefer to keep the date private. Ask new hires once, in private, whether they want their birthday marked at work, and respect the answer without asking for a reason. Do not post birth dates on a shared calendar without permission. In the United States, federal law requires employers to reasonably accommodate an employee’s religious beliefs or practices unless doing so would cause a burden that is substantial in the overall context of the business.
