How pro rata salary is worked out

Pro rata means “in proportion”. A part-time salary is the full-time salary multiplied by the share of full-time hours that the person works. That share is often called the full-time equivalent, or FTE. Acas explains that pay and leave for part-time workers are given pro rata.

  • FTE = actual hours a week ÷ full-time hours a week
  • Pro rata annual salary = full-time salary × FTE
  • For a term-time role, multiply again by paid weeks ÷ 52
  • For part of a year, multiply the annual figure by calendar days in the job ÷ 365

Worked example

A job is advertised at £30,000 a year for 37.5 hours a week. You will work 22.5 hours a week. Your FTE is 22.5 ÷ 37.5 = 0.6, or 60%. Your pro rata salary is £30,000 × 0.6 = £18,000 a year, which is £1,500 a month before deductions.

This calculator divides the annual figure by 12 for monthly pay and by 52 for weekly pay. The hourly rate is the full-time salary divided by 52 weeks and then by the full-time weekly hours. Some employers use 52.143 weeks or count working days instead of calendar days, so payroll figures can differ slightly.

How do I work out my pro rata salary?

Divide the hours you work each week by the full-time hours, then multiply the full-time salary by the result. For example, a job paid £30,000 for 37.5 hours a week pays £18,000 a year if you work 22.5 hours, because 22.5 ÷ 37.5 is 0.6.

What is 30,000 salary pro rata?

It depends on how much of the full-time week you work. With a 5-day full-time week, £30,000 pro rata is £18,000 a year for 3 days a week, which is £1,500 a month. For 4 days a week it is £24,000 a year, which is £2,000 a month. These are gross figures, before tax, National Insurance and pension.

What is the formula to calculate pro rata?

Pro rata salary = full-time salary × (your weekly hours ÷ full-time weekly hours). For a term-time role, multiply the result by paid weeks ÷ 52. For part of a year, multiply the annual figure by the calendar days in the job ÷ 365.

What does 25k pro rata mean?

It means £25,000 is the salary for the full-time hours. You are paid the share of it that matches the hours you work. For example, if you work 3 days and full time is 5 days, you get £15,000 a year, which is £1,250 a month before deductions.

What is FTE?

FTE stands for full-time equivalent. It shows a part-time role as a share of a full-time one. Someone who works 30 hours in a team where full time is 37.5 hours has an FTE of 0.8, or 80%.

How is a term-time only salary worked out?

A common method is to multiply the pro rata salary by the number of paid weeks, including paid holiday weeks, divided by 52. Employers use different formulas for term-time pay, so check your contract or ask your payroll team which one applies to you.

Does this calculator show take-home pay?

No. It shows gross pay, which is pay before tax, National Insurance and pension contributions are taken off. Your take-home pay will be lower and depends on your tax code and pension scheme.
